Privacy & KVKK Notice

How your personal data is processed, as required by Article 10 of Turkish Law No. 6698 on the Protection of Personal Data (KVKK).

Last updated: 28 October 2026

1.Data controller

Your personal data is processed by Sude Özmen, sworn translator at the Fethiye 1st Notary Office, as data controller. Contact: iletisim@sudeozmen.com

2.Personal data processed

  • Identity and contact details: name, e-mail address and any other contact details you share in correspondence.
  • Request details: the service you need, language direction, notary certification preference, deadline and your notes.
  • The documents to be translated and the data they contain. Besides identity, address, education, family and financial details, documents may contain special categories of personal data such as health or criminal record information.
  • Technical data: the IP address and browser information processed by the hosting infrastructure to deliver pages to you and keep the site secure.

3.Data collected through the site and cookies

What you type into the quote and contact forms is not sent to this site or to any server, and is not stored. The form opens a pre-filled e-mail in your own e-mail app; whether to send it and which documents to attach is your decision.

The site uses no analytics or advertising cookies. It only keeps a preference cookie named NEXT_LOCALE (1 year) to remember your language, and a temporary entry in your browser session when you switch languages. Visit counts and page speed are measured with Cloudflare Web Analytics, which uses no cookies and collects no information that identifies visitors.

4.Purposes and legal grounds

  • Answering your request and preparing a quote: processing directly related to entering into a contract (KVKK Art. 5/2-c).
  • Carrying out translation, notary certification and interpreting: performance of the contract (Art. 5/2-c) and obligations under the rules a sworn translator is subject to (Art. 5/2-ç).
  • Processing special categories of data in your documents only for the translation you request: the conditions listed in KVKK Art. 6 and, where required, your explicit consent.
  • Keeping the site secure and running: legitimate interest (Art. 5/2-f).

5.Recipients

  • The notary office that certifies the translation.
  • Public authorities legally entitled to request it, when they do so.
  • Service providers: e-mail runs on Google (Gmail) and the site is hosted on Cloudflare. As their servers may be located outside Türkiye, this is a transfer abroad within the meaning of KVKK Art. 9.

Your data is not otherwise shared with third parties, sold or used for marketing.

6.Retention

Documents for translation and e-mails containing them are kept for at most 30 days after delivery, for corrections and objections, and then deleted. Records of notarised translations are kept by the notary office under its own regulations.

7.Your rights

Under KVKK Art. 11 you have the right to:

  • learn whether your personal data is processed and, if so, request information about it,
  • learn the purpose of processing and whether the data is used accordingly,
  • know the third parties in Türkiye or abroad to whom the data is transferred,
  • request correction if the data is incomplete or inaccurate,
  • request deletion or destruction under the conditions of KVKK Art. 7,
  • request that corrections, deletions and destructions are notified to the third parties the data was transferred to,
  • object to an outcome against you arising solely from automated analysis,
  • claim compensation for damage caused by unlawful processing.

8.How to apply

Send your request by e-mail to iletisim@sudeozmen.com, with enough information to verify your identity. Requests are answered free of charge within 30 days at the latest; if the request involves an additional cost, the fee set by the Personal Data Protection Board may apply.

If your request is rejected, you find the answer insufficient or it is not answered in time, you may complain to the Personal Data Protection Board.
